Your people operations. Finally working together.

Stafflume brings employee onboarding, workforce documentation, HR workflows and AI-assisted support into one workspace, so every hire goes from signed offer to workforce ready.

The problem

HR shouldn’t run on scattered spreadsheets and endless follow-ups.

Growing companies keep employee information in spreadsheets, email threads, paper forms and chat apps. Records exist, but the work of assembling and chasing them lands on HR.

Scattered information

A new hire’s signed contract is in an email thread, the emergency contact form is a photo in a chat group and the start date lives in a spreadsheet nobody owns.

Records go stale, and nobody can say what is missing for one person without asking three people.

Administrative overload

HR re-keys the same fields from contracts and forms, chases late documents by message, and answers the same leave and policy questions every week.

Hours go to follow-ups instead of people work, and the effort grows with every location and every hire.

No workforce visibility

Managers at each site run onboarding their own way. HR cannot see who is ready for day one, whose certification lapses next month or which approvals are stuck.

Gaps surface late: a new starter without a signed form, or an expired forklift certificate found during a shift.

Traditional HR systems store employee data, but the manual work of collecting, checking and chasing it stays with the team. That does not scale past a handful of hires per month or a single location.

The solution

One workspace for everything that happens after the hire.

Stafflume is an operations layer for the employee journey after an offer is signed. It is not an applicant tracking system, and it does not replace HR judgment.

01

One employee record

Profile, documents, tasks and approvals sit together instead of across five tools.

02

Documents read for you

Fields are extracted from uploads and flagged when missing. A person confirms every value.

03

Workflows that repeat

Build the onboarding once per role and location, then reuse it for every hire.

04

Answers from your policies

Employees ask questions and get answers that cite the policy, or are routed to HR.

Platform

Six capabilities, one connected workflow.

Each capability reads and writes the same employee record, so what happens in one place shows up everywhere else.

01

Intelligent employee onboarding

Create an employee profile and Stafflume proposes an onboarding plan from the role, department, workplace location and your company requirements. HR managers assign tasks, watch completion and send reminders.

What it means for you
New starters arrive with the right paperwork done and the right access requested, without HR tracking it by hand.
In the workflow
Feeds the workflow engine and the readiness dashboard.

AI suggests the checklist and summarizes what is outstanding. A manager approves before anything is assigned.

02

AI document intelligence

Upload contracts, certifications and onboarding forms. Text and form fields are extracted, missing fields are highlighted and a short summary with suggested follow-ups is drafted. Authorized staff review and edit every value.

What it means for you
Less re-typing, fewer incomplete files, and a clear queue of what needs a human look.
In the workflow
Approved values update the employee record and close the matching onboarding task.

Stafflume does not authenticate documents or decide legal compliance. It prepares them for HR review.

03

Stafflume HR Assistant

Employees ask questions in plain language: leave entitlement, outstanding documents, where the remote work policy is. Answers draw on approved policies and the asker’s permitted information, and show the policy they came from.

What it means for you
Routine questions are answered immediately, and HR only sees the ones that need judgment.
In the workflow
Unanswered questions are routed to HR with the context attached.

If no approved policy covers the question, the assistant says so and hands it to HR.

04

Workforce readiness dashboard

One view of total profiles, people currently onboarding, completed checklists, outstanding documents, certifications nearing expiry, pending approvals and upcoming deadlines, filterable by location.

What it means for you
HR sees which site or team is behind before it becomes a problem on the floor.
In the workflow
Built from the same records the workflows and document queue update.

Shown with sample data until a workspace has real records.

05

Automated HR workflows

Define reusable onboarding workflows with ordered steps, owners, due dates, reminders and approval gates. Scheduled reminders and status updates go out on time without anyone remembering to send them.

What it means for you
Every hire follows the same process, and consequential steps always wait for a person to approve.
In the workflow
Workflows create the tasks employees see and the approvals managers act on.

Human approval is a built-in step type, not an afterthought.

06

Employee self-service portal

A simple, mobile-first space where employees see assigned onboarding tasks, upload requested documents, read company policies, follow progress, view approved announcements and ask the HR assistant.

What it means for you
Employees complete their part from a phone, and HR stops relaying requests by message.
In the workflow
Uploads go straight into the document review queue.

Access is limited to each employee’s own information.

How it works

From signed offer to workforce ready in four steps.

  1. 01

    Add your team

Create employee records and assign role, department and location. The details drive which workflow applies.

  2. 02

    Configure workflows

Choose onboarding requirements, owners, deadlines and approval gates, per role or per location.

  3. 03

    Let AI assist

Extract fields from uploaded documents, draft checklists and answer policy questions from approved sources.

  4. 04

    Stay in control

Review outstanding actions, approve or reject changes and monitor completion on the readiness dashboard.

Who it’s for

Built for teams that onboard people across locations.

The common thread is growth without a matching growth in HR headcount.

Growing businesses

Teams of 20 to 300 where HR is one or two people.

The problem
Hiring outpaces process. Onboarding depends on whoever remembers to chase.
How they use Stafflume
Standard workflows per role, automated reminders and one place for every employee file.
The benefit
Consistent onboarding without adding administrative headcount.

Retail and hospitality

Stores, restaurants and hotels with frequent starters and seasonal staff.

The problem
High turnover means constant paperwork, and certificates such as food handling expire unnoticed.
How they use Stafflume
Role-based starter checklists, certificate expiry reminders and mobile document upload from the shop floor.
The benefit
Starters are ready for their first shift and lapses are caught early.

Logistics and distribution

Warehouses, depots and fleets across several sites.

The problem
Safety training and equipment certifications must be current, but records sit with site supervisors.
How they use Stafflume
Site-level readiness views, certification tracking and approvals before equipment access is requested.
The benefit
HR and operations see the same readiness picture for every site.

Multi-location service businesses

Clinics, agencies and field-service companies with distributed teams.

The problem
Each location onboards differently, and head office cannot see status without asking.
How they use Stafflume
Shared workflow templates with location-specific steps and a cross-location dashboard.
The benefit
One standard, local flexibility and visibility from the center.

HR and People Operations teams are the primary users across every segment: they configure workflows, review documents and own the policy library.

Technology

How We Use Amazon Web Services

Stafflume’s capabilities map directly to a serverless AWS architecture: documents are stored and read with S3 and Textract, Bedrock drafts summaries and answers from approved policies, and Lambda, Step Functions and EventBridge Scheduler run the workflows and reminders. Stafflume is in development, so this describes the architecture the product is being built on.

  1. Stage 1

    Data collection

Sign-in and requests from HR and employees

    • Amazon Cognito

Authenticates HR staff and employees and enforces role-based access.

    • Amazon API Gateway

Exposes the secured API the web app calls.

  2. Stage 2

    Secure storage

    Documents and records at rest

    • Amazon S3

Holds uploaded documents in encrypted buckets.

    • Amazon DynamoDB

Stores employee records, tasks and workflow state.

  3. Stage 3

    Processing

    Backend logic and orchestration

    • AWS Lambda

Runs the application backend and automation logic.

    • AWS Step Functions

Orchestrates multi-stage workflows with approval steps.

    • Amazon Textract

Extracts text and form fields from documents.

  4. Stage 4

    AI intelligence

    Summaries, checklists and policy answers

    • Amazon Bedrock

Drafts summaries, checklists and assistant replies.

    • Amazon Bedrock Knowledge Bases

Retrieves passages from approved company policies.

  5. Stage 5

    Application experience

    What HR and employees see

    • Amazon EventBridge Scheduler

      Triggers deadline and certification reminders.

    • Amazon SES

      Sends onboarding and reminder emails.

    • Amazon CloudWatch

Monitors the application with logs and alarms.

Services and their roles

Each service has one clear job. Using AWS services does not by itself make Stafflume compliant with any regulation or certified under any scheme.

  • Amazon Bedrock: Generates onboarding checklist suggestions, document summaries and employee support answers.
  • Amazon Bedrock Knowledge Bases: Retrieves passages from approved company policies so assistant answers can cite their source.
  • Amazon Textract: Extracts text and form fields from contracts, certificates and onboarding forms.
  • Amazon S3: Provides encrypted object storage for uploaded employee documents and policy files.
  • AWS Lambda: Runs the application backend and automation logic without managing servers.
  • Amazon API Gateway: Provides the authenticated APIs that connect the web app to backend services.
  • Amazon DynamoDB: Stores employee records, task data and workflow metadata.
  • AWS Step Functions: Orchestrates multi-stage HR workflows, including steps that wait for human approval.
  • Amazon Cognito: Handles authentication and role-based user access for HR staff and employees.
  • Amazon EventBridge Scheduler: Schedules deadline and certification-expiry reminders.
  • Amazon SES: Delivers onboarding notifications and reminder emails.
  • Amazon CloudWatch: Collects logs and metrics to monitor the application.

Security and privacy

Designed to protect employee data and keep people in charge.

These are design principles for the platform being built. Stafflume holds no security certifications and has not undergone a third-party audit.

Encryption

Documents and records are designed to be encrypted in transit and at rest using AWS-managed encryption.

Role-based access

HR administrators, managers and employees see only what their role allows, enforced at the API layer.

Limited data collection

Stafflume asks only for the fields a workflow needs, and nothing is collected for its own sake.

Retention controls

Workspace owners will set how long documents and records are kept, with deletion on request.

Human review of AI output

Extracted values, summaries and suggested actions are drafts. A person approves them before they change a record.

Decision support only

Stafflume supports HR professionals. It does not make hiring, dismissal or other consequential employment decisions.

FAQ

Questions HR teams ask first.

What stage is Stafflume at?

Stafflume is being built. The interactive preview on this site runs on sample data in your browser, and early access is being offered to companies that want to shape the first release. We are not claiming customers or live deployments.

How is my employees’ data protected?

The platform is designed around encryption in transit and at rest, role-based access and limited data collection. Stafflume has no security certifications or third-party audits today, and we say so rather than imply otherwise. Ask us for the details during early-access conversations.

What does the onboarding module do?

It builds an onboarding plan from an employee’s role, department and location, assigns tasks, sends reminders and shows completion. AI suggests checklists; a manager approves them.

Does the AI make HR decisions?

No. AI extracts fields, drafts summaries and answers policy questions. People review and approve anything that changes a record, and Stafflume is not designed to make hiring, dismissal or other consequential decisions.

Can Stafflume verify that a document is genuine or legally compliant?

No. It reads documents and flags what looks missing so HR can review them faster. Authenticity and compliance remain HR and legal judgments.

Which industries is it for?

Growing SMEs and companies with several locations, such as retail, hospitality, logistics, distribution and multi-site services. Any team onboarding people across locations should find it relevant.

Why AWS?

The architecture uses AWS services for secure storage, document extraction, generative AI with approved-policy retrieval, workflow orchestration and scheduled reminders. The AWS section describes each service and its job.
